Food safety software · Food retail

Forty units, three stores, and one clipboard each.

Retail food safety is a consistency problem before it is a hygiene one. Every store does it slightly differently, nobody at head office sees a gap until an inspection finds it, and the estate is too big to check by walking round.

No card required · Unlimited users · One dashboard across sites

One standard

Rolled out to every store

Change a sheet centrally instead of re-photocopying three variations.

Every unit

Monitored, not sampled

Forty fridges is too many to probe twice a day and mean it.

Head office

Sees the gap on the day

Not six weeks later when an EHO points at an empty Sunday.

Why retail is different

The risk is not one store doing it badly. It is not knowing which one is.

Scale

More units than anyone can probe

A convenience store can run twenty-plus chilled and frozen units. Twice-daily manual readings across all of them is a job nobody completes honestly.

Sensors cover what probing cannot

Consistency

Three stores, three methods

Sheets get photocopied, amended locally and drift apart. When one store is inspected, head office finds out what that store had actually been recording.

One template, rolled out centrally

Withdrawals

Notices arrive from suppliers

A supplier withdrawal means checking shelves in every store and evidencing that you did. Doing that by phone and email leaves no record worth showing.

Actioned and evidenced per site

Retail controls

Running food safety
across an estate.

01

One dashboard, every store

Completion status by store and by shift, with what is late and what is open in one list. A gap becomes visible on the day it happens rather than at the next audit.

  • Live completion status per store
  • Overdue checks flagged, not silently skipped
  • Open non-conformances across the estate in one list
02

Change a sheet once, everywhere

Update a check sheet centrally and it changes in every store the same day. Where one site genuinely needs a different version, it holds one on purpose rather than by accident.

  • Central rollout to all stores at once
  • Site-specific versions where equipment differs
  • No local photocopies drifting out of date
03

Chilled and frozen units, monitored

An estate has too many units for manual probing to be meaningful. Sensors read continuously and alert a named person, which is the only way twenty-plus units per store gets covered honestly.

  • Continuous readings across every monitored unit
  • Alerts to a named person, escalated on inaction
  • Weekend and overnight cover with no gaps
04

Date code sweeps and reductions

A scheduled sweep with the checks recorded, so removing out-of-date stock and applying reductions is a documented routine rather than something the closing shift may or may not get to.

  • Date code sweeps scheduled per section
  • Removals and reductions recorded
  • Sign-off by named person per sweep
05

Supplier withdrawals, actioned and proved

A notice arrives and every store needs to check, clear and confirm. Issuing it as a task means you can see which stores have completed it and evidence the response afterwards.

  • Withdrawal issued as a task to every store
  • Completion visible per store in real time
  • Evidence retained for the authority and the supplier

Multi-site

You cannot fix
what you cannot see.

The failure mode in retail is not a manager who does not care. It is a store that quietly stops completing a sheet, and nobody at head office knowing until an Environmental Health Officer opens the folder and finds three empty weeks.

A live view of completion across the estate turns that into a conversation on the day. The sheet is overdue at 10am, somebody sees it, and it gets closed before it becomes a pattern.

Gaps surface on the day

An overdue sheet is visible at head office within the hour rather than at the next audit cycle.

Comparable across stores

Because every store runs the same sheet, the completion figures actually mean something side by side.

Common questions

Food retail
questions, answered.

How does this work across several stores?

Every store runs the same check sheets and head office gets one dashboard showing completion, overdue checks and open non-conformances across the estate. A sheet can be updated centrally and changes in every store the same day, or a single site can hold its own version where its equipment genuinely differs. Pricing is per site, so each store is licensed separately with unlimited users on each.

We have more than twenty units per store. Do we probe them all?

Manual probing at that scale is where records stop being honest, because nobody completes forty readings twice a day under pressure. Wireless sensors are the practical answer for an estate: every unit read continuously, with an alert to a named person on a breach. Manual probing then stays for the checks that need a person anyway, like goods-in.

How do we handle a supplier withdrawal notice?

Issue it as a task to every store. Each site confirms it has checked and cleared the affected stock, and you see in real time which stores have completed it and which have not. The evidence is retained afterwards, which is what the supplier and the authority will both want to see.

What happens when a store stops completing a sheet?

It shows as overdue on the estate dashboard rather than disappearing quietly. That is the difference that matters in retail: a gap is a conversation on the day rather than something discovered weeks later by an inspector opening a folder.

Will staff turnover make this hard to run?

Turnover is the argument for it rather than against it. Each task carries a photo of what good looks like, so a new starter completes the check correctly on their first shift without a training session, and unlimited users means casual and weekend staff go on it too instead of being left on paper.
